DOC.pilot and ZUGFeRD: High Speed for Factoring
DOC.pilot of fidis GmbH, used in conjunction with the Central User Guide of the Forum for Electronic Invoicing in Germany [ZUGFeRD], significantly accelerates the factoring process

With DOC.pilot, the IT tool created by fidis GmbH located in Kaarst, Germany, it is now also possible to read out electronic invoices if they were created in the ZUGFeRD format. This will significantly accelerate invoice processing in the factoring industry. At the same time, it allows the extraction of all relevant posting data with maximum reliability. ZUGFeRD is now the new standard format for electronic PDF invoices. DOC.pilot is an IT tool intended for mass processing of receipts, particularly to be used by factoring companies. The new version allows to read out the data correspondingly if an invoice was created in the ZUGFeRD format.

With the new release, DOC.pilot generates, in less than five minutes for more than 2.000 invoices the relevant data for an automated processing. The system recognizes from the very outset if, for instance, the information concerning the invoice number, banking details and the note of transfer is correct and provides the factoring system, FACT.pilot, relevant accounting information to facilitate further processing.
When reading out the integrated XML-files, DOC.pilot generates CSV (Comma-separated values) files using all the data contained in the document. In a second step, the pre-selected elements, such as the letterhead, the invoice number or the note of transfer shall be checked for content accuracy. If the system recognizes a mistake in the accounting information, an error message will be generated and forwarded along with the document. If the conversion is completely successful, the data relevant for the accounting process will be filed on an FTP server along with the original document and can be retrieved from there for automatic processing. In this manner, within five minutes, over 2,000 invoices can be processed. DOC.pilot can be freely configured and flexibly adapted to any document layout.
ZUGFeRD was developed by the Forum for Electronic Invoicing in Germany for the purpose of facilitating the exchange of electronic invoices between companies. Its format allows the invoice data to be integrated into one PDF document in an XML format: The invoices are dispatched as a PDF document, but the data are also converted to a standardized XML structure embedded in the PDF file. The invoice display thus cannot be distinguished from any standard PDF invoice.
