WMD Enters the Cloud Arena with xFlow Mailroom
New digital inbox component for Cloud and On-Premise
(firmenpresse) - WMD (Workflow Management & Document Consulting) presents xFlow Mailroom, a member of the new xSuite365 portfolio. This product suite offers cloud services that extend the function range of traditional on-premises solutions. The xFlow Mailroom module automatically classifies incoming mail content and supports various scenarios, including use as an on-premises solution, as a cloud service or for hybrid environments.
xFlow Mailroom, the digital incoming mail component of WMD’s xSuite365, acts as a data hub that imports documents from various source platforms, processes them automatically or with manual assistance, and then seamlessly transfers them to the target systems. Users are provided with all relevant information on each process step regardless of what system they are working with, be it the mail system, an ERP solution or corporate CRM software. Any document that participates in a structured core process of the company is ideally suited for process-based mailbox digitizing.
Classification with xFlow Mailroom draws on cutting-edge technology. Document classes are determined by means of content-based analysis, which continuously improves over time thanks to an automatic self-learning function. Users can define document classes with a few clicks, and newly created document classes are prevented from adversely affecting previously configured classes.
xFlow Mailroom supports a vast range of input scenarios. This includes common mass scanning, while an intuitive web scan client addressing the requirements of distributed specialist departments facilitates simple capture without the need to install any software. Structured and unstructured documents or even ZUGFeRD-compatible PDFs can be integrated directly from the Office environment or via a web service.
Once this connection has been established, the solution autonomously triggers additional workflows, such as the capture of document content or simple processes supported by the relevant Mailroom components. The current modules import invoice details by identifying relevant information while also checking for plausibility.
Business documents generally exist in a specific context and can be linked to information existing in the various IT systems such as, for instance, ERP, CRM, mail etc. The optional enterprise search feature of xFlow Mailroom leverages this interconnectivity, allowing users to find information in various corporate contexts from within the Mailroom interface. The solution can also automatically generate information about received business documents, and an intelligent indexing function ensures that documents are matched with associated information in a largely automatic manner. The solution integrates with a broad range of supported ECM systems and also comes with an optional archive to help companies set up audit-compliant document archiving workflows.
